Overview: how the account is organised
After signing in you land on the Dashboard. The menu under your name at the top right opens Dashboard, Settings (your account), Billing and Sign out. Next to it you switch language and appearance (light, dark, system); the question mark opens the support form.
Every website has its own page. Open it from the dashboard with Open next to the website. At the top you see name, domain and status of the website, and on the right the Answer box switch. Below are the tabs:
- Setup – the four steps to a running box.
- Connections – helpdesk, authenticated customer data and your own customer API.
- Design – colours, texts, behaviour of the box, answer cache, consent.
- Index – pages read, index runs, uploaded documents, push API.
- Embed – embed code, plugins, installation check, usage, add-on answers.
- Questions – the question analysis: what visitors ask and where content is missing.
- Editorial – fixed answers, scheduled notices, excluded topics.
- Extensions – search field and suggestions, scopes, next steps, handover, tests.
- Workbench – test studio, knowledge inventory, review & history, notifications, language review, installation diagnostics, AI tools.
- Settings – name, further hosts, re-indexing, excluded paths, delete website.
The Design and Extensions tabs have a View: Simple / Expert toggle at the top right. The simple view shows only the most important fields; scopes, tests, MCP, advanced features and further options are in the expert view.
Saving: every section has its own Save button at the bottom. Only then does the change apply to the box.

Dashboard, workspaces and team
The Dashboard shows everything you have access to: your Workspaces and within them the Websites and Members. A workspace groups websites, team and plan. How many workspaces and websites you can create is shown as "x of y used" and depends on your plan.
Create a new workspace
On the dashboard click New workspace and give it a name. Rename changes the name later, Delete removes it with all its content – this cannot be undone.
Invite team members and roles
To bring colleagues into your team: on the Dashboard click Invite in the workspace, enter the email address and choose a Role. The invited person receives an email with a link and then works in the same workspace. Roles:
- Owner – owns the workspace; buys add-ons and manages the subscription.
- Admin – may add websites and change all settings.
- Viewer – sees everything but cannot change anything.
Leave workspace removes you from a workspace you do not own.
Hand over a workspace
Hand over makes another member the owner. You stay in it as admin, but afterwards you can no longer rename or delete the workspace, remove members or undo the handover yourself. Answely asks for your current password to confirm.
Add a website
On the dashboard click New website in the workspace. Enter the Domain – just the name of your website, without protocol and without a path; www is added automatically. The Name is optional and only for you. Add website takes you to the setup. If your plan does not allow more websites, you see More websites with a higher plan.
Status of a website
The Status column on the dashboard and the badge next to the domain show:
- Live – the box is on and answers questions.
- Box off – the box is switched off with the Answer box switch.
- Verify domain – the domain is not verified yet.
- Verification lost – the verification has not been found for 14 days; index and box are paused until it is back.
- Over plan limit – your plan includes fewer websites; the box of this website is off, nothing was deleted.
- Syncing – the last change has not reached the answer service yet and is sent again automatically.
- Paused – Answely has paused the website; please contact support.
Setup: four steps to the box
The Setup tab guides you through four steps. New websites open here.
Step 1: Verify domain
Show that the domain belongs to you – only then may Answely read your pages. Three ways, one is enough:
- Meta tag in the head of the start page.
- DNS TXT record on the domain with the value shown.
- File at /.well-known/answely.txt with the content shown.
Then click Check now. Answely checks the verification again weekly. If it cannot be found for 14 days, index and box are paused until it is back.
Step 2: First index run
Answely reads the public pages of your website and keeps an index of them – only for answers on your website. The first run starts automatically once the domain is verified. Afterwards you see how many pages and sections are in the index. Re-index now starts a new run. Under Try these questions Answely suggests questions from the headings of your pages; one click tries them.
Step 3: Design the box
Optional – the defaults fit most websites. The button leads to the Design tab.
Step 4: Embed the script
Insert the line shown once into every page, ideally just before the end of the page (before the closing body tag). Check installation and usage leads to the Embed tab. As soon as the box has answered visitors of your domain, the step counts as done – also when it is embedded through a tag manager.
Design: look and behaviour of the box
In the Design tab you set the look, texts and behaviour of the box. The Preview shows how the box looks. Do not forget Save at the bottom.
Quick-start template
Choose My website is a … (blog or magazine, online shop, documentation or help centre, club/municipality/public office, company or service provider) and Apply template. This sets behaviour and search field to match. Colours, texts, fixed answers and privacy settings stay as they are.
Colours and shape
Accent colour, background, text colour, border colour (each #RRGGBB or var(--your-colour), empty = automatic), corner radius (0–32 px), font, Theme (like the visitor's system, light, dark) and shadow.
Texts of the box
Under Texts you choose the language and change title, "While answering", follow-up field, button, footer note, "When no answer is possible" and "When the website has no sourced answer". Empty fields use the default shown in grey. The box uses the visitor's language.
From the Pro plan you can set Your own AI notice (10–200 characters). It must clearly say that the answer is AI-generated and must not deny it; otherwise the default applies.
Behaviour: when and how the box answers
- Show the box – on search and on pause, only when the search is sent, only on a typing pause, from a minimum length, only on request (button in the box) or only when the page loads with a search term.
- Answer – questions only, questions and longer searches, only questions with a question mark or question word, every search, or every search except excluded terms.
- Position – below the search field, above the search field or inside the target element.
- Sources at most – how many source cards the box shows.
- Tone – as the website ("we"), informal, formal or neutral.
- Answer search on page load – for result pages: the box answers the search in the address.
The expert view adds: typing pause (ms), minimum characters and words, Excluded terms (a search containing one gets no answer, e.g. product numbers) and Wording (one line per replacement with a language code, for example so that the answer says "cookie" instead of another word).
Allow answer cache
The Allow answer cache switch is in the Design tab, section Behaviour. When it is on, identical questions are answered from a cache for 24 hours – faster and without visitor data. When it is off, every answer is generated anew. The question analysis (Questions tab) needs the answer cache; switching on the analysis allows it as well. Save after switching.
Ask for consent first
The Ask for consent first switch is also under Design → Behaviour. The box then sends nothing – not even its configuration – until the visitor has agreed. The consent tool Consented and consent tools with IAB TCF v2 are detected automatically; any other tool calls Answely('zustimmung', true). This changes the embed code – replace it on your website (Embed tab).
Advanced: search field, target element, own CSS
Only needed if the box does not find your search field by itself (expert view): Search field (CSS selector) – which input the box listens to; Target element (CSS selector) – where the box appears (empty: at the search field); Own CSS – up to 5000 characters, without @import and url().
Index: pages, documents and push
The Index tab shows what Answely knows about your website: pages, sections, the page limit of your plan, whether a run is in progress and the schedule of automatic re-indexing.
Index runs and errors
Last run shows start, result (running, finished, failed, cancelled) and, if any, the reason. The table lists addresses that were not taken in, with the reason. Re-index now starts a new run; meanwhile the page shows found, processed, skipped and errors. You set the schedule (daily, weekly, manual only) in the website's Settings; daily from the Pro plan.
A page is missing from the index
Add pages that neither the sitemap nor links reach under Additional start addresses in the website's Settings. Also check Exclude paths and whether the page limit of your plan is reached. You can look up individual sources in Workbench → Knowledge inventory.
Upload documents (PDF, text, Markdown)
Under Upload documents you add PDFs, text or Markdown files to the index – for example product data sheets, manuals or FAQs that are not on your website. Optional: Title (shown as the source), Source URL (an https address on your verified domain; without it the content is used but no source card is shown) and Language. Then Upload.
- Save Word files as PDF first.
- Uploading the same file again updates it.
- Uploaded documents count towards the page limit of your plan.
- Scanned PDFs need local OCR: switch it on under Extensions → Optimisation.
- The file itself is neither stored nor published; only its text goes into the index. Do not upload confidential content: the box can quote it to every visitor.
Status per document: In the index, Being indexed … or Not indexed. Delete removes a document.
Push API and token
With the Push API you deliver content directly from your server – products, pages behind a login or texts without their own page; they reach the index within seconds. Included from the Pro plan. Create token shows the token exactly once – keep it on the server, never in the browser. New token invalidates the old one, Revoke token switches access off. Calls from a browser are rejected; the URL must belong to your verified domain; up to 1 MB per document. Technical details are in the developer docs.
Embed: code, plugins and usage
Embed code
The Embed tab shows the line with answely.js and your site key; Copy copies it. It works with every CMS; the box finds your search field by itself and loads nothing from third parties. If Ask for consent first is on, the tab also shows the lines for your consent tool.
WordPress, Shopware, TYPO3, Joomla and Shopify
For WordPress: Download WordPress plugin (ZIP), install it and enter the site key under Settings → Answely. For Shopware, TYPO3, Joomla and Shopify there is also a thin wrapper that sets exactly this script tag.
Check installation
Check installation looks for the script on your website and shows "Last found on …". For a deeper check use Workbench → Installation diagnostics.
Usage and quota
Answers in the last 14 days shows answers, unanswered questions and median time per day, plus the usage of the monthly quota (calendar month). Box impact shows the click rate on sources, questions without an answer and handovers – anonymous, without cookies. Fixed answers do not count towards the quota.
Buy add-on answers
If the quota is not enough, the owner of the workspace buys a package under Add-on answers (Buy add-on). Purchased packages and a possible withdrawal are listed under Billing → Add-on packages.
Questions: the question analysis
The Questions tab shows what visitors want to know and where your pages provide no answer. Included from the Pro plan.
Switch on the question analysis
Switch Collect questions for the analysis. Opt-in; it needs the answer cache, which is allowed at the same time. Visitors can then rate every answer (👍/👎). For each answer Answely stores the question with masked email addresses, phone numbers, IBANs, links and long numbers, the day, language, result and cited pages – never IP addresses, visitor IDs or the answer text. Questions are deleted after 90 days. Mention the analysis in your privacy policy.
Read the analysis
Choose a period to see questions, share answered, rated helpful, median time, self-served share and source clicks. Similar questions are grouped by meaning every night; only groups with at least two questions are shown. Sections: Poorly rated answers, Content gaps (questions without a sourced answer – content is missing for them), Most frequent questions, Pages (cited most often), Most clicked pages and Trend. Next to each question: Create fixed answer or Create documentation draft.
Knowledge gap report and webhook
Monthly knowledge gap report by email sends the content gaps and most frequent questions of the previous month at the start of each month; unsubscribe via the link in every email. Report new gaps right away sends newly found gaps once a day to a webhook address (JSON or Slack); Send test message tries it.
Delete collected questions
Delete questions removes all collected questions and groups of this website immediately. If the analysis stays on, it starts again from zero.
Editorial: fixed answers and notices
Create a fixed answer
In the Editorial tab click New fixed answer: Question, up to 9 Other phrasings, Answer (at most 1500 characters, shown in the box unchanged), optionally a Public source URL on your verified hosts, Language and Active. Answely recognises typos, umlauts and word order by itself. Under Advanced: do not trigger for … you enter up to 5 phrasings for which the search should answer instead of the fixed answer. Fixed answers do not count towards the quota; how many you can create depends on your plan. The answer API is public – use only information that may be shared.
Scheduled notices
Shown in the chosen period (From, Until) before matching answers, e.g. holiday closures. Without terms before every answer, at most 10.
Excluded topics and preferred sources
Topics to exclude: up to 20 words or expressions; matching questions get no AI answer (whole words count). Preferred source URLs: up to 20 HTTPS URLs that are sorted to the front when they match.
Draft, review and test
Save changes with Save draft and publish them with Review and publish. Earlier versions are in Workbench → Review & history. Test saved settings shows whether a fixed answer or the search answers.
Extensions
Search field & suggestions
Suggested questions (one per line, at most 12, with "en:" at the start only in that language) appear when someone clicks into the empty search field; optionally also the questions of your fixed answers. Own search field: a button at the bottom right or left opens a search window. Keyboard shortcuts Ctrl/⌘+K and / open it from anywhere. Send events to Google Analytics, Tag Manager or Matomo sends only type, result, number of sources and duration – without question and answer.
Scopes, next steps and handover (expert view)
- Products and documentation versions – up to 10 URL paths; the search stays within the chosen path.
- Next steps – up to 10 destinations (link, book an appointment, download, call, email, copy text) shown after matching answers, optionally also as a suggestion in the empty search field.
- When there is no answer – what the box offers when it has no sourced answer: nothing, a link to the support page, email, contact page or a live chat on the same page. Nothing is ever sent automatically.
- Automatic answer tests – up to 10 test questions with expected terms or sources; Run saved tests.
- Documentation for AI assistants – enable public documentation search via MCP.
Optimisation and advanced features
Also in the expert view: Search glossary, Source lifecycle (validity and rank per URL prefix), Enable local OCR for scanned PDFs, Protected knowledge / SSO, clarifying questions, adviser, live API data and the Index release, which tests index changes before release. The same tools are grouped by task under Workbench → AI tools.
Workbench
The Workbench tab groups tools by task:
- Test studio – inspect answers, compare with the candidate, add test questions.
- Knowledge inventory – all indexed sources and errors of the last run, searchable.
- Review & history – publish, edit or discard open drafts; ten earlier versions are kept for at most 90 days and can be restored as a draft.
- Notifications – notices about index errors, failing tests and a low quota (from 80 %). The yellow bar Website notices at the top of the page leads here.
- Language review – your own box texts, notices and translations of fixed answers per language.
- Installation diagnostics – checks domain, knowledge, box, configuration and embedding and tells you what is missing.
- AI tools – the options from Extensions, grouped by task.
Connections
In the Connections tab you connect Answely to a helpdesk (Zoho Desk, Zendesk, Freshdesk), to Authenticated customer data and to an Own customer API. Credentials are stored securely and not shown again. Check connection tests access, Disconnect removes it.
Website settings
In the website's Settings tab:
- Name – only for you.
- Domain – cannot be changed; for another domain add a new website.
- Further hosts – one per line, only under your domain (e.g. www, shop). The box runs only there.
- Re-indexing – daily (from Pro), weekly or manual only.
- Exclude paths – pages below them are not indexed (e.g. /internal/).
- Additional start addresses – pages that the sitemap and links do not reach.
- Delete website – deletes the website with its index and settings immediately; type the domain to confirm.
Switch the box off
The Answer box switch at the top right of the website page switches the box off and on again. Your normal search keeps working.
Your account: settings
Menu → Settings:
- Profile – first name, last name.
- Invoices and VAT – customer type, country, address, company name, VAT ID (checked with VIES), company logo.
- Change email address – new address and current password; the confirmation link is valid for 24 hours.
- Preferences – language, light/dark/system, currency (fixed while a subscription is running).
- Security – change password.
- Two-factor authentication – set up with an authenticator app; keep the recovery codes safe.
- Devices – see signed-in devices and sign them out, including "Sign out all other devices", and support access.
- Your data – download all stored data as JSON or CSV.
- Danger zone – Delete account.
Forgot password
On the sign-in page choose "Forgot password?"; Answely sends a reset link to your email address.
Billing: plan, subscription and invoices
Menu → Billing shows Your plan, the next invoice and usage (workspaces, websites). Here:
- Choose plan – monthly or yearly; moving to a smaller plan switches off the boxes of the newest websites above the limit without deleting data.
- Manage subscription – opens subscription management at the payment provider Stripe, e.g. for the payment method.
- Cancel subscription – ends at the end of the term; until then everything stays as it is. Resume subscription withdraws the cancellation.
- Cancel to switch provider – with a notice period of at most two months (Data Act).
- Right of withdrawal – 14 days for private persons, with the button Withdraw from contract.
- Invoices – date, number, amount, status, View.
- Add-on packages – purchased packages per website.
What each plan includes is shown in the plan comparison on answely.com.
Frequently asked questions
How do I add a new website?
Open the Dashboard and click New website in the workspace. Enter the domain (just the name, without protocol and path) and click Add website. The Setup tab then guides you through domain verification, the first index run, design and embedding. How many websites you can add depends on your plan.
How do I embed Answely on my website?
Open the website → Embed tab → copy the line with the script and your site key with Copy and insert it once into every page, ideally before the end of the body. This works with every CMS and also via a tag manager. Afterwards Check installation shows whether the script is found.
How do I add Answely to WordPress?
Open the website → Embed tab → Download WordPress plugin (ZIP). In WordPress, install and activate the ZIP file under Plugins → Add New → Upload Plugin. Then enter the site key from the Embed tab under Settings → Answely in WordPress. The plugin sets exactly the script of the box, nothing else. Similar extensions exist for Shopware, TYPO3, Joomla and Shopify.
How do I change the colours or look of the answer box?
Open the website → Design tab → section Colours and shape. There you set accent colour, background, text colour, border colour, corner radius, font, light or dark theme and shadow. The preview shows the change right away; then Save.
How do I change the texts of the answer box?
Open the website → Design tab → section Texts. Choose the language and change the title, button, footer note or the text for missing answers. Empty fields use the default. Then Save.
How do I exclude pages from the index?
Open the website → Settings tab → Exclude paths: one path per line, for example /internal/. Pages below it are left out from the next index run. You can also remove single pages in the Questions tab with Hide next to cited pages. On your website itself, noindex, robots.txt and the attribute data-answely-ignore on an element also work.
Where do I see how many answers I have left?
Open the website → Embed tab → Answers in the last 14 days. It shows the usage of the monthly quota ("x of y answers this month") and how many answers your plan includes per month. At 80 % you receive an email and a notice appears in the Workbench.
What happens when the answer quota is used up?
When the monthly quota is reached, the answer box is hidden until the next month; your normal search keeps working. An add-on package (Embed tab → Add-on answers) or a higher plan (menu → Billing) helps immediately. Fixed answers do not count towards the quota.
How do I buy more answers?
Open the website → Embed tab → Add-on answers → Buy add-on. Add-ons are bought by the owner of the workspace. A package is valid in the month of purchase and the following month. Purchased packages are listed under Billing → Add-on packages. A higher plan gives more answers permanently.
How do I change my password?
Menu at the top right → Settings → section Security: enter your current password, the new password and its repetition, then Change password. If you forgot your password, use "Forgot password?" on the sign-in page.
How do I change my plan or upgrade?
Menu at the top right → Billing. Choose monthly or yearly, click Choose plan for the plan you want and confirm. Without a subscription there is also an Upgrade button at the top. If you move to a smaller plan with fewer websites, the box of the newest websites above the limit is switched off; nothing is deleted.
How do I delete my account?
Menu at the top right → Settings → Danger zone → Delete account, confirm with your password. Workspaces you own pass to another member (admins first); workspaces without other members are deleted. A running subscription ends immediately. This cannot be undone. Before that you can download everything under Your data.
How do I delete a website?
Open the website → Settings tab → Delete website. Type the domain to confirm. The website is deleted with its index and settings immediately. To only pause the box, use the Answer box switch at the top right instead.
How do I test whether the box answers correctly?
Quickest: Editorial tab → Test saved settings, enter a question and see whether a fixed answer or the search answers. For lasting checks, add Automatic answer tests in the Extensions tab (expert view) or test questions with expected terms and sources in Workbench → Test studio. In the Setup tab, Try these questions tries suggestions with one click.
Why does the box not answer on my website?
Check Workbench → Installation diagnostics: domain verified, knowledge in the index, box switched on, configuration transferred, embedding detected. Common causes: the script is missing on the page, the Answer box switch is off, the quota is reached, consent is pending (Ask for consent first) or the box does not find the search field (then set the CSS selector under Design → Advanced).
How do I set up consent?
Open the website → Design tab → Behaviour → switch on Ask for consent first and save. Then put the changed embed code from the Embed tab on your website. The consent tool Consented and consent tools with IAB TCF v2 are detected by the box itself; with other tools your consent tool calls Answely('zustimmung', true) after consent.
What does the box show when it has no answer?
If Answely finds no sourced answer on your pages, the box shows the text "When the website has no sourced answer" (editable under Design → Texts). In addition, under Extensions → When there is no answer (expert view) you can offer a link to the support page, an email, a contact page or a live chat on the same page. Such questions appear as content gaps in the question analysis.
How do I export my data?
Menu at the top right → Settings → Your data: choose JSON (one file) or CSV (ZIP, one table per section) and Download my data.
How do I switch on the knowledge gap report?
Open the website → Questions tab → switch on Monthly knowledge gap report by email. It needs the running question analysis (from the Pro plan). The report arrives at the start of the month with the content gaps and most frequent questions of the previous month; unsubscribe via the link in every email.
How do I contact support?
Click the question mark at the top: the form How can we help? sends your message together with the page you are on. We usually reply within one working day. Or write to support@answely.com.
Where do I find my invoices?
Menu at the top right → Billing → Invoices: date, number, amount, status and View for each invoice. You change the billing address and VAT ID under Settings → Invoices and VAT.
How do I switch on two-factor authentication?
Menu at the top right → Settings → Two-factor authentication → Set up. Scan the QR code with an authenticator app (such as Aegis, FreeOTP, Google Authenticator or 1Password), enter the six-digit code and your password, Turn on. Keep the recovery codes safe afterwards.
How do I switch the answer cache on or off?
Open the website → Design tab → section Behaviour → switch Allow answer cache on or off and Save. When it is on, Answely answers identical questions from the cache for 24 hours; when it is off, every answer is generated anew.
How do I match the box to the design of my website?
Open the website → Design tab. Under Colours and shape you take over the accent colour, background, font and corner radius of your website, under Theme light, dark or like the visitor's system. For details, the expert view has the field Own CSS under Advanced. The preview shows every change before you save.
How do I choose whether the box is formal or informal?
Open the website → Design tab → Behaviour → Tone: as the website ("we"), as the website informal, as the website formal, neutral, neutral informal or neutral formal. Then Save. The tone applies to AI answers; fixed answers are shown exactly as you wrote them.
How do I decide when the box appears?
Open the website → Design tab → Behaviour → Show the box. The options are: on search and on a typing pause, only when the search is sent (after Enter or the search button), only on a typing pause, from a minimum length, only on request via a button in the box, or only when a result page loads. With Answer you also decide whether only questions or every search gets an answer.
Can a team member only view without changing anything?
Yes. Invite the person on the Dashboard with Invite and choose the role Viewer. Viewers see all websites and reports of the workspace but cannot change anything. Admins may change everything; the owner also manages the subscription and add-ons.
How do I remove "Powered by Answely"?
The note "Powered by Answely" is shown below the box on the entry plan. From the Starter plan it is gone. You change your plan via the menu at the top right under Billing.
How do I link to my contact form or appointment booking after an answer?
Open the website → Extensions tab → expert view → Next steps. Add an action (link, book an appointment, download, call, email or copy text), enter the destination and matching question terms and save. After answers on these terms the box shows up to three such links. For the case without an answer there is also When there is no answer.
Can I connect Answely to Google Analytics, Tag Manager or Matomo?
Yes. Open the website → Extensions tab → Search field & suggestions → switch on Send events to Google Analytics, Tag Manager or Matomo. This only works if the tool already runs on your website. Only type, result, number of sources and duration are sent – never the question or the answer.
Does Answely work with Shopify, Shopware, TYPO3, Joomla or Webflow?
Yes. Answely runs on every website where you can add a script: insert the line from the Embed tab into the theme or template. There is a dedicated plugin for WordPress and a thin extension for Shopware, TYPO3, Joomla and Shopify that sets exactly this line with your site key. The pages must be publicly reachable and your domain verified.
How do I set up a Slack webhook for new knowledge gaps?
Open the website → Questions tab → Report new gaps right away. Enter the webhook address (https), for example an incoming webhook from Slack, choose the format Slack or JSON and save. Send test message checks the connection. Answely reports newly found content gaps once a day; the question analysis must be running for this.
How do I restore an older version of my fixed answers?
Open the website → Workbench tab → Review & history → Version history. Choose Restore as draft for the version you want, check the draft and publish it. Ten earlier versions are kept for at most 90 days.
Where do I add the DNS record for domain verification?
At your domain or DNS provider, where you manage the DNS records of your domain. Add a TXT record on the name _answely in front of your domain, with the value shown in step 1 of the Setup tab. Then Check now; it can take a while until the record is visible worldwide.
Help and support
The question mark at the top opens How can we help?: enter your request and message, then Send. We usually reply within one working day; the page you are on is sent along. Alternatively: support@answely.com. The Ask Answely… field at the top answers questions from the pages of answely.com; your question is not stored.
